**Tables do not with Table Linens
- 2 or more separate Exhibitors are not to share Exhibit Spaces. Each Exhibitor is expected to purchase their own Exhibit Space.
- Electricity can be purchased for an additional Fee.
- Wifi and internet are not provided with the purchase of an Exhibit space. Wifi and internet can be purchased from the Greater Philadelphia Expo Center for an additional Fee.
*Exhibitors are allowed to have a Proxy sell in their stead.
No Refund Policy
- Exhibit Spaces are not guaranteed until Registration is completed and payment is received.
- There will be NO Refunds Offered for your Exhibit Space. Prior to completing the Registration process, please be 100% certain you will be able to set-up and participate at the convention.
- Only in cancellation of the event will Refunds be offered. This includes but not limited to Acts of God, natural disasters, pandemics, etc.
- Exhibit Space transfers are not allowed without the knowledge and consent of the show promoter. It is to be noted that transfers are not guaranteed to be approved. They are handled on a case by case basis.
- Exhibitors may have a proxy sell on their behalf. Exhibitors must provide information on proxy.
General Rules
- Exhibitors are not to damage walls, tables, floors, chairs, etc. Damage caused by the Exhibitor is the sole responsibility of the offending Exhibitor.
- Exhibitors are responsible for the safety of their space. If informed by Show promoter, Venue Staff, Fire Marshall, etc to make safety changes to their Exhibit space, the Exhibitor must adhere to changes in a timely manner.
- Exhibitors are responsible for the cleanliness of their space.
- Smoking is strictly prohibited inside of the Greater Philadelphia Expo Center.
- Show Promoter will not be held responsible for any merchandise sold by Exhibitors.
- Show Promoter is not liable for any theft, damages, or loss of merchandise and / or funds.
- Exhibitors agree to not publicly display adult material (18+) and to check the ID of any party interested in such products.
- Exhibitors agree to hold harmless Thy Geekdom Con, Game Infirmary Enterprises LLC, and its staff from loss or damage of merchandise or injury sustained during the participation at its event. It is up to the Exhibitors to carry insurance for themselves and their merchandise.
- Gambling is strictly prohibited.
- Exhibitors may request for Attendees and other Exhibitors not to photograph their merchandise.
- Exhibitors are not to run activities in front or around of your Exhibit Space.
- Exhibitors agree to comply with all Local, State, and Federal requirements in connection to the sales of their merchandise.
- Fan Art is allowed although it must be of original design and in Exhibitors own style
Food and Beverage Policy
- All food and beverage being sold must be prepared and properly packaged off premises. Any other food items must be approved in advance by the Greater Philadelphia Expo Center.
Blade Policy
- Blades and sharp pointed objects may be sold by Exhibitors although they must check the ID of the purchaser to ensure that they are over the age of 18.
- Upon sale the item must be packaged securely by the Exhibitor and the Attendee must remove the item from the Greater Philadelphia Expo Center immediately.
Banned Merchandise
- No Guns or weapons that shoot projectiles are permitted unless they are replicas and have no ability to fire any type of live ammunition.
- No Helium or any flammable gasses are to be brought into the Greater Philadelphia Expo Center under any circumstances.
- No Chemicals of any kind.
- No devices that can discharge potentially harmful electrical current. Examples being Tasers or Stun Guns.
- Bootlegs and Pirated items are strictly prohibited in any form. This includes but not limited to physical and digital merchandise. Any Exhibitor found to be selling Bootleg or Pirated merchandise will be immediately escorted from the Greater Philadelphia Expo Center.
- No Illicit Drugs, Drug Paraphernalia, or merchandise that have been derived from controlled substances.
Check-In, Set Up, and Break Down
- Exhibitors must first check-in and receive their badges prior to setting up.
- Exhibitors are responsible for loading your merchandise, supplies, and equipment into and out of the Greater Philadelphia Expo Center within allotted set-up and Break down times.
- Exhibitors will not be provided with any moving equipment and must bring their own.
- Any rolling carts, hand trucks, etc must have rubber wheels to enter the Greater Philadelphia Expo Center.
- Motorized vehicles are not to be brought inside the venue for Set-up or Break down.
- Exhibitors are to use locations designated by Show Promoter for Set-up and Break down.
- All Exhibitors are to stay for the entire duration of the event.
- Exhibitors are not to set-up late or Break down early unless you are given prior permission to do so from the show promoter.
- Exhibitors will lose their space if they are a No Show one hour prior to the opening of the Event. In which case the Show Promoter holds the right to Offer Space to another Exhibitor.
*Space Assignments, Set-up and Break down times, Load in / Load out locations, and other information will be provided closer to the event via Email.
Harassment
- Harassment, bullying, or Aggressive behavior of any kind to Thy Geekdom Con Staff, Greater Philadelphia Expo Center Staff, other Exhibitors, or Attendees is strictly prohibited. Such behavior depending on severity may result in expulsion from the event.
- Inappropriate behavior and lewd acts will result in expulsion from the event.
- In the event of an incident occurring we ask that Exhibitors and Attendees do not take matters into their own hands. They are to contact convention staff immediately.
*Thy Geekdom Con Staff, Greater Philadelphia Expo Center Staff, and Local Authorities reserve the right to remove an Exhibitor at any time during the event.
**Rules can be updated and altered at any time and Exhibitors are expected to adhere to the revisions. Exhibitors will be notified of all changes and alterations made.
